Meeting Minutes

 

Call to order 1015

Attendence: Kathi Bell, Jay Githens, Peggy Doud, Lara Owczarski, Ronda Githens, Kathy Brady, Bobbe Hahn, Dennis Hahn, Theresa Eberhardt, Judy Somerlot, Sands Uridil, Lou Uridil, Nancy Aschauer, Sharon Mix, Sue Smithmeyer

1. Correspondence: Thank you notes for people who helped with set up and tear down of the book sale. Also mutual thank yous exchanged between the Friends and the Coaches and teams from the high school who helped out.

2. Approval of minutes from the August 2025 meeting: Approved. There was also a request made on my behalf to limit the amount of crosstalk discussions during the meeting. It’s hard for me to take notes when multiple voices want to be heard. Today was mucho better.

3. Treasurer’s Report: See attached

4. Committee Reports

a. Scrapbook: Carolyn Kyle Not available

b. Hospitality: Bobbe Hahn None

c. Publicity: Theresa Eberhardt Special shout out to Theresa for her additional publicity for the Annual Book Sale. For a small amount we bought more visibility on Patch in three other towns beside Yorkville. Possibly do it longer next year and include Aurora.

d. Volunteer Hours: Nancy Aschauer 337 hours recorded

5. Library Activities

a. Shelley Augustine: At the board meeting tonight Shelley will be asking to close early on the night of Homecoming, Oct 2nd.

The non-resident library cards used to be an annual fee now they are going to see if they can do it bi-annual.

They had about 1600 people come through during the book sale, 208 within the first six minutes!

Friday the 26th the library will be closed for staff continuing education.

The 2nd half of the library LED project starts Monday.

We do not have a firm date on chair delivery. Stay tuned!

Judy motioned that we buy Ted our maintenance guy a couple of t-shirts, Jay seconds. Motion approved.

b. Mike Curtis: Mike brought in a copy of the Kendall County Record with Carolyn’s Art is for Everyone program on their front page. Classes are full through Dec and they’ve received a number of donations as well!

AI class was well attended and part 2 will be coming soon.

The library’s magazine The Hub is out. https://www.yorkville.lib.il.us/the-hub/

On Sept 16, the library will be hosting Melanie Holmes and her book 100 Things to do in Illinois. They are also looking for ideas for 100 things to do in Yorkville. So far they have 55.

They are going to try having a cake decorating class in the evening for those who are interested but can’t make it at 10:30am.

6. Old Business

a. Reminder: Membership drive continues through September 30. We had three new members sign up.

b. August Used Book Sale: Sue Smithmeyer and Sharon Mix See attached for wrap up notes.

c. Update on sale of t-shirts: Sue Smithmeyer and Sharon Mix So far we have 15 orders for 18 items. https://dopepepperdesign.com/collections/yorkville-public-library. When do we want the next sale date?

d. Update on web page: Jay and Ronda Githens, Theresa Eberhardt See attached for notes.

There was a motion to approve $150 for expenses for the website. Nancy motioned, Peggy seconds. Motion approved. Lara is taking the role of webmaster with the occasional assist from Theresa but we need more people as backups. If you are interested, please let us know.

e. Update on Murder Mystery committee: Delayed until next month.

f. Restaurant fundraiser: See attached for notes. Maciano’s for 13 Oct for Monday Night Football for Bears vs Commanders is a possibility.

g. Second round for volunteers for Lobby Book Sale, Obit project, Mini Food Pantry We passed around a sign up sheet for the remaining months. Looks like pretty much everything was filled up. If you are interested in helping please let us know!!

7. New Business

a. 2026 Calendar meeting dates Calendar of dates for next year was passed out. Doesn’t look like any conflicts.

b. Discussion of provision of snacks and water for October 22 Trivia Night Shelley indicated that homemade treats are acceptable. Friends will supply snacks, water, juice boxes, and a team to compete. Event will be marketed with wording “Snacks provided by Friends of the Library.

c. Discussion of raffle to coincide with March Used Book Sale; possible creation of committee to handle solicitation of donations. Kathi is writing letters to solicit donations which would go out in late October. Raffle items will be displayed at the beginning of Feb. Book sale would be drawing day. Judy is doing a quilt for raffle and brought up the idea of the quilt being a silent auction item.

d. Comments from the floor – Judy Somerlot brought up the idea of an Open House to introduce the Friends organization to the public. The event was held in October last year and brought in three new members. Perhaps we can hold another in midwinter.
